From the conference room to Capitol Hill: photographing IPASummit 2025

The group photograph in front of the U.S. Capitol was an important part of the plan before Nichole arrived in Washington. IPA wanted an image that brought its members together in a recognizable setting, along with coverage of the activity around Hill Day.
That is the kind of brief we enjoy: a clear priority, a moving event and a team that understands why the photographs matter. Nichole led the photography for Clanton Media at IPASummit 2025, held April 30–May 2 at the Conrad Washington, D.C.

Planning for an event that moves
The conference included sessions at the hotel and a Capitol Hill Day on May 1. Those settings needed to fit into one photography plan. Covering a room and following a group between locations ask different things of a photographer, even when they belong to the same event.
IPA shared a shot list in advance and identified the Capitol group image and members moving between meetings as priorities. The team also planned time before the conference to visit the Hill with Nichole and work through the photography arrangements.
Those conversations help turn an agenda into a working coverage plan. We need to know which moments are essential, where they will happen and what needs to be ready before people arrive. When a large group comes together for one photograph, that preparation can make the brief moment much easier on everyone.

Keeping the people at the center
The finished group photograph shows the Capitol between the trees, with IPA’s members filling the foreground. Washington establishes the setting, while the people remain the subject.
That balance matters throughout a conference collection. The location helps tell one part of the story. The speakers, attendees, organizers and conversations tell the rest. A useful gallery gives the marketing team both a sense of the whole event and individual moments it can return to afterward.
Working with a returning client helps us understand its voice, but every event still needs a fresh plan. A different city, agenda or priority can change what needs the most attention.
Following through after the conference
Nichole completed the full gallery on May 15, ahead of the May 16 date she had communicated. Keeping the team informed about that delivery was part of the assignment.

A complete edited gallery and a small selection for a timely social post serve different purposes. Across our conference work, we discuss those needs early so the first content deadline can be planned alongside the event coverage. Fast delivery works best when we know which images matter first and who will use them.
